Send Invoices
Click Invoices in the sidebar to create and manage outgoing invoices.
Creating an Invoice
- Click + New Invoice on the Invoices page
- Fill in the invoice details:
- Client -- start typing a client name and a dropdown appears with matching clients from your client register (cached search). Select a client to auto-fill their email, address, and org number.
- Due date -- payment deadline
- Line items -- add products or services with description, quantity, unit price, and VAT rate
- Review the totals (subtotal, VAT, and grand total are calculated automatically)
- Click Save to save as a draft, or Send to deliver the invoice
Smart Line Item Suggestions
When creating an invoice for a returning client, Envoi suggests line items from the most recent previous invoice to that client. A suggestion card appears showing:
- The invoice number the suggestions are based on
- Each suggested line item with description, quantity, unit price, and VAT rate
- Click a suggestion to add it individually, or click Add all to add all suggestions at once
This saves time when you regularly invoice the same client for similar services.
Live Preview
As you fill in the invoice form, a live preview of the final invoice PDF is shown alongside the editor. This lets you see exactly how the invoice will look before sending it.
Sending an Invoice
When you send an invoice, Envoi delivers it to your client. The invoice moves from Draft to Sent status.
Invoices include:
- Your company details (name, org number, address)
- Client details
- Line items with VAT breakdown
- Payment information (bank account, KID number)
- Due date
Invoice Status Flow
Each invoice moves through a lifecycle of statuses:

| Sent | Delivered to the client. Waiting for payment. |
| Viewed | The client has opened/viewed the invoice. |
| Paid | Payment has been received. |
| Overdue | The due date has passed without payment. |
| Reminded | A payment reminder (purring) has been sent. |
| Collection Warning | An inkassovarsel (collection warning) has been sent. |
Payment Reminders (Purring)
When an invoice is overdue, you can send a payment reminder (purring). Norwegian regulations allow you to charge a reminder fee:
- Reminder fee: 70 NOK
- The fee is added to the outstanding amount
- The reminder includes a new payment deadline
Payment reminders are a standard part of Norwegian debt collection procedures and serve as a formal notice before escalating to collection.
Collection Warnings (Inkassovarsel)
If payment is still not received after a reminder, you can send an inkassovarsel (collection warning). This is a legally required notice before a debt can be sent to a collection agency:
- The warning informs the client that the debt may be forwarded to a collection agency
- It includes the total outstanding amount (including any reminder fees)
- A final deadline is given for payment
- Norwegian law requires at least 14 days notice before collection proceedings can begin
Manual vs. Automatic Dunning
You can run dunning two ways:
- Manual — open an overdue invoice and click Send Reminder or Send Collection Warning when you decide it's time. You stay in control of the timing.
- Automatic — go to Settings → Dunning and turn on auto-dunning. Envoi then sends the reminder and collection warning on a schedule you configure (e.g. reminder N days after due, inkassovarsel 14 days after the reminder), so you don't have to remember.
Auto-dunning currently runs on B2B invoices only in this phase — invoices to private individuals stay manual until consumer-protection rules around automated debt collection are validated end-to-end. You can mix the two: leave auto-dunning on for most invoices, but manually send a reminder earlier on a specific invoice if you want.
EHF / Peppol
Envoi supports EHF (Elektronisk Handelsformat) invoicing via the Peppol BIS 3.0 standard. EHF is the Norwegian standard for electronic invoicing:
- Invoices can be sent electronically to clients registered in the Peppol network
- EHF invoices are structured XML documents that can be processed automatically by the recipient's accounting system
- This eliminates manual data entry and reduces errors
- Public sector clients in Norway typically require EHF invoices
Payment Total with Late Fees
When an invoice has had payment reminders sent, the invoice detail view shows the total outstanding amount including any accumulated late fees (70 NOK per reminder). This gives you a clear picture of the full amount owed.
Pagination
The Invoices inbox and drafts lists use pagination (20 items per page by default). Use the page controls at the bottom of the list to navigate through your invoices.
PDF Download
You can download any invoice as a PDF file at any time. The PDF includes all invoice details formatted in a professional layout, suitable for printing or emailing manually.
