Email Polling (IMAP)
Envoi can automatically receive invoices from a connected email inbox. When enabled, it monitors your inbox for emails that look like invoices and imports the attached PDFs as received invoices.
Setting Up Email Polling
- Go to Settings in the sidebar
- Click Configuration
- Under IMAP settings, enter your email connection details:
- IMAP Server -- your email provider's IMAP hostname
- Port -- typically 993 for SSL
- Email address -- the inbox to monitor
- Password -- your email password or app-specific password
Common IMAP Settings
| Provider | IMAP Server | Port |
|---|---|---|
| Gmail | imap.gmail.com | 993 |
| Outlook / Hotmail | outlook.office365.com | 993 |
| Domene.no | imap.domene.no | 993 |
For Gmail, you may need to use an App Password instead of your regular password. Go to your Google Account security settings to generate one.
Testing the Connection
After entering your IMAP settings, click Test Connection to verify that Envoi can reach your inbox. A success or error message will appear.
How It Works
- Once enabled, Envoi polls your inbox every 10 minutes
- It looks for emails that contain invoice-related keywords and have a PDF attachment
- Matching invoices are imported automatically and appear in your Received Invoices list with a Pending status
- You can then use Extract & Review to let AI read the invoice, just like manually uploaded invoices
Enabling and Disabling
Use the toggle on the Configuration page to enable or disable email polling at any time. When disabled, Envoi stops checking the inbox but your IMAP settings are preserved.
